Discuss about the Project Management on RALS Rostering.
The B T and Sons Farming Equipments established the Riverina Agricultural and Lifestyle show in the year of 2000. Every year this show is arranged in November. The main target of this show is to display the local business, farmers, lifestyle products and agricultural equipment suppliers. The management department of RALS required to make coordination between the show stands, displays arranged in live programs, catering, volunteers and other specific requirements needed in any program. Previously the show did not have specific goals and objectives to be developed in the concerned scenario but after understanding their developmental requirements, they have grown to community committee. However, the Globex is still committed to RALS and maintain a strong community engagement with the help of strong and perfect management structure. The management mainly maintains the records relate to the donations, tickets and other specific arrangements required to organize a reprogram.
This report is elaborating a project related to the establishment a new rostering system within the RALS in order to improvise their rostering system that is not up to the mark according to their demands. This rostering system manages the all the operation of the volunteers of RALS. These operations are donation management, selling of tickets, cleaning of RAL sites that is messed up after nay program etc. Establishment of this rosteering system is required project plan in order to successfully be installed within RALS. This report is discussing the present scope and management plans for this project. This plan involves the technology and resources required for this project. in addition to this equipments and many important factors, this project require a structured project implementation schedule that will elaborate the specific process and their required timings. At the final stage of this project it will be elaborating the several risk factors associated with it, identification of which will to improvise the quality management of the system.
Measurable organization values are concerned with the goals and objectives of this project. The concerned goals and objectives of this project are to achieve the structured analysis of the organizational resources and system requirements that are necessary to develop the rostering system within RALS. In order to manage the project MOV procedure is followed and applied. This procedure is involves six steps within the system:
Recognition of the are impactful areas
Cost analysis of the project
Appropriate metric development required for the project
Time estimation for the completion of the project
Verification and agreement from the stakeholders involved within the project
Summarization of the values hidden in the project
Implementation of the project requires having the detailed information about their volunteers and their functionalities within the project with specific timing. This detailed information about the rank and timing schedule related to the volunteers are helpful while analyzing the project success as these factors will directly affect the project success.

Value |
A strategic step allows the RALS to achieve increase in shares. This also helps to innovate the services according to customer demands. |
The rostering system makes the volunteers available to their concerned customers and improvises the service providence. |
RALS can save money with the help of investing their money in the agricultural sector. This will make their share value high. |
Evaluation of the organizational value helps to reduce the cost involved within the operational context. |
Socital value addition to the operational context is helpful so as to obtain the accurate information |
Metric |
This is introduced within the system to increase the share value by 10 percent. |
Rostering system saves more time than the manual process of recoding arranging programs. |
Rostering system reduces the cost involved by 20 percent. |
The customer satisfaction must be handled on first priority and the response time of the volunteer should be less. |
Effective communication reduces the time taken for understanding the customer demands. |

MOV procedure is introduced into the system in order to achieve the structured and effective system of operation within the rostering system. Management of the roles and segmented tasks among the volunteer becomes easy with the help of the MOV system within rostering system. These collections of information are guaranteed and accurate in comparison with the manual collection of data about the customers and new programs. Required timing for the manual error correction as well as error detection becomes easy to be solved. RALS information system becomes very strong and compatible with the evolving challenging environments.
Project Scope
All the private data and private responses collected from the volunteer and customer should be kept secured from any kind of threats, unauthorized access and malfunctioning of data. This aspect is very important in order to protect the organizational data safe from external harmful resources. The shared data between the administration and management or any higher authority of the organization must be kept secured with respect to the external environment. All of these above mentioned steps requires the entire manual set up within the organization to be replaced by the cloud based system, this aspect results into the protection of all the data as well as accuracy of the data will be maintained. This project should considers the all the required process within the set up. In addition to this, the volunteer should observe all the activities followed by their clients and administrators. Database administrator has to be used by RLSA in order to maintain the updated data every time. This updated data will help the manager to forward right data to their clients. This helps to fulfill all the demands of the clients. In addition to this, the entire system must be flexible with the changed structure of operations in order to achieve the most effective and dedicated system as a hole.
Roles and responsibilities of the developers in this project are as follows:
Roles |
Responsibilities |
Project Manager |
The manager of the project has the responsibility to ensure a good growth with a structured way of completion to the project. |
Project Sponsor |
Project sponsors are responsible for the arranging the funds from market as well as from the partners of RALS. |
Project scheduler |
Scheduler decides the framework related to the structure of the project. He decides which part of the project has completed within a specific time span. |
Risk Manager |
The duty and responsibility of the risk manager is to manage the risk associated with the developmental process of the project and they have to analyze the resolution technique to resolve these risks. |
Designer |
Responsibility of a system designer is to arrange the outputs of the project according to the demands of the clients. |
Analyst |
Analyst finds the available resources for the project and helps to arrange these resources according to demands of the project. |
Business Consultant |
As per name, it is clear that the consultant have to develop the suggestions for the betterment of the concerned project. More specifically, they have to find out the flaws within the project. |
Financial Manager |
Financial manager is responsible for managing the expenses involved in the project. |
Technological tools and equipments are mainly used in the project in order to achieve the best outcome from the project. Among these several technological tools few are UML Techniques, database model tools, improvised and innovative programming languages and various library functions. These above technological tools can help in building a successful project structure in order to attain successful results. In addition to this, there several technical equipments that may be helpful in attaining the project goals and objectives: laptops, desktops, other technologically advanced equipments. Networking is another important aspect while considering the developmental perspective of the project. There is also several networking protocol available in the contemporary market that will help to make the structuring of the project possible. Grant chart, Pert chart are also helpful in identifying the detailed structure of the project.
New and technologically advanced system will requires a structured training facility. This training facility will be helpful in finding the solutions for the difficult situations at the time of the project development. The information entered in to the system is up to 2017, so about these data the employees should be trained properly.

Assumptions
This must have to be accepted that the project will be completed within the selected time span and estimated expense. In addition to this, it is assured that all the tasks related to the project will be under control and observation. All the members of the project are required to finish their task as per their scheduled timings. If all the tasks are finished in the scheduled timing then other colleagues are also not affected by the delay. Besides all of these aspects, this is also important that the supervisor checks all the operating measures according to the demands of the project. This will ensure the development of the rostering framework of RALS.

Conclusion
This report can conclude that the RALS have arranged a set of activities that will helps to make a management system replacing their manual system of operation and also reduce the dependency on their volunteer. The new system will provide an automated system set up to RALS that will make them more efficient in the field o arranging programs and managing their customer demands. All the required elements for this project implementation and planning are described in this report. In addition to this all the risk factors and risk resolution steps are also discussed in this report with the individual roles of the project member in risk resolving measures. This entire proposed system will reduces the excess pressure on the staffs and will help the managers to gain good amount of revenues in comparison with their competitors. In addition to this, this entire project not only elaborated the project details, but also it has elaborated the roles and functionalities of the project members. The new rostering system of RALS will be more efficient than the conventional manual operating system followed by them.
