There are different stakeholders involve in the project. The project can be of different field. In a software development project there are three main stakeholders involved in the project. These three stakeholders are the organization or the service providing company who is responsible for  developing the software, the client or the user of the software and the project development team appointed by the service providing company. Different stakeholders have different kind of interests. The client want to invest the money on the accurate development of the software. The clients or the users are concerned about the accuracy of the software. Te service providing company is concerned about the profit gained from the request of the service form the client and fulfilling all the requirements of the client while developing the software. The project development team is concerned about the development life cycle of the project, where the project manager monitors all the stages of the project life cycle.

Certain issues can be appeared as different stakeholders have different interest. In order to resolve the issues the common principal or the guideline can be maintained based on the common interest which is the compilation of the project in a correct way can be developed.

The stakeholder engagement matrix shows the current status and the desired status of the different stakeholders engage in the process. It has been seen that the website of the Destination Australia was expected to be in a supportive position. However, in the reality it has been seen that it is taking the leading position in the system. On the other hand the main stakeholder in project is the National Archive of Australia, which was expected to take the leading position in the system. However, it has been seen that this organization has taken the supportive position in the process. This variation is the most significant variation in the system. The reason of the variation is the involvement of the organizations in development of the data base regarding the information. It has been seen that the Destination Australia has take part in the development of the archive more actively than National Archive of Australia.

There are some difference between the planned and the actual engagement of the stakeholders in the project. The planned engagement is defined as the expected action or the involvement from the stakeholders in different aspects of the development of the project. The actual engagement is the actual involvement of the stakeholders during the compilation of the project. The planned engagement can be fixed at the initial planning stage of the project, while the actual engagement can be measured after the compilation of the project and the delivery of the outcome.

Assessment of Stakeholder Information

The main reason for the difference between the actual engagement and the planned engagement of the stakeholders is the uncertainty about the engagement of the stakeholders in the project. Apart from that the situation and the constraints in the project development phase can also make the variations in the engagement of the different stakeholders.

Some of the suggestions can be made for maintaining the desired statues of the stakeholder management in the project. It can be expected that the involvement of the stakeholders in the project will not be same. The working environment of the project is needed to be maintained as it has been planned, so no constraint can restrict the proper involvement of the stakeholders. The required components in the project are needed to be accessed by the stakeholders so that the involvement can be done in a proper way.

The expectation of the stakeholders is dependent on the performance of the organization and the ability to resolve the conflict regarding social, ethical or cultural. In case, if the organization is performing well and maintaining all the ethical issues along with resolving the conflicts. The performance of the organization will influence the stakeholder to engage and invest in the project in more active way. Maintaining the ethical issues and mitigation of the conflict management will help to increase the goodwill of the organization. In that case, the organization will make the stakeholders interested about the ongoing projects and the stakeholders will be assured that their involvement will be fruitful.

The engagement of the stakeholder is also dependent on the individual’s effort in the project. In the software development of the project, the each person from the client group should be aware of the requirement in the project, so that the clarity in the requirement can be understood and this will reduce the chances of the scope creep. Each team members of the project is needed to do the jobs in the different modules of the project so that the compilation of the project can be done in a proper way.

The distribution of the work between the project team is the responsibility of the project manager. In the software development project, different team members are assigned to the different modules of the work. The project manager distributed the work of different modules  to the different team members according to the specialization and  the knowledge domains of the team members.

Continuous monitoring and the meeting with the team members in a routine basis along with enabling the sharing of the knowledge will ensure that the team members are working on the processes of the different modules in a proper way.

In the software development project the engagement of the stakeholders are   dependent on the interpersonal skills of the team members. The involvement of the project management team becomes successful if the knowledge sharing between the team members are done in a proper way. The brainstorming sessions and the knowledge sharing enhance the flow of the communication between the team members and the project managers. This makes the clarity in the requirements of the project. Problems and the issues arise in the project can be solved effectively through these interpersonal skills. These steps help to increase the level of the engagement of the team and the other stakeholders of the project.

The following is the list of the reasons that can make the variance of the engagement of the stakeholders in the project:

• Mentality of the different stakeholders.
• Difference between the personal and the organizational interests and goals of the different stakeholders.

Different level of communication can be maintained in order to make the flow of the information between the different stakeholders in the project. The responsibility of the project manager is to make the stakeholders agree on the common level of the communication. In order to ensure this the project managers can conduct some meetings between the different stakeholders of the project regarding the reporting of the progress and update of the project.

In the project management there can be variance of the communication. In case of software development project the flaws in the communication can be regarding the improper documentation of the requirements. This is an example of the miscommunication between the clients and the project team members.  It has been seen that some of the team members are not doing the proper documentation of the progress of the project and not reporting to the project managers in a proper way.

The identification of the flaws in the communication can be measured from the outcome of the projects in the different stages. The outcome of the project stages were not meeting the required results indicates that there was a communication gap between the stakeholders of the project.
