MetaSoft is looking for a cloud based approach that will provide its staffs with the facilities of office automation including the email facilities, word processing and spreadsheet capabilities along with the online storage of file (Chou, 2013). Office automation in the cloud approach is beneficial for a business as when the office automation is transferred to cloud, it eliminates the need of complex and expensive on premises requirements. The movement of the office automation in cloud further increases the security and scalability of the data and improves the data availability as well. Apart from that, the movement of the office automation in cloud improves security aspects of the files and data stored in the system as well. The security is increased since the data stored is encrypted which can be accessed only by the individual having an authorization to access the data. The different approaches and the benefits of moving the office automation to cloud are discussed as follows-
Since the need of office automation in cloud increases with the increase in the size of the business, it is essential for a business to choose an approach which will help in easier implementation of the office automation in cloud thereby reducing the complexity of the operation (Arora, Parashar & Transforming, 2013). The two different approaches are proposed for Meta Soft includes the Ad hoc approach and the structured approach of office automation. These two approaches are one of the most widely used approaches of office automation as they ensure easy implementation process. However, in order to make a choice of which approach to be chosen, it is essential to evaluate the advantages as well as the disadvantages of each of the cloud approaches.
The first approach that is proposed for office automation in MetaSoft is the use of Ad Hoc approach in the implementation of office automation. This is one of the most widely used approaches s it has a number of benefits. The implementation time of office automation with Ad hoc approach is considerably less which is one of its significant benefits. However, one disadvantage is that the implementation of office automation with this approach can be a bit costly.
Structured approach is another proposed approach of cloud office automation. As the name suggests, in structured approach, a planned process is followed in implementation of the project which is one of its advantages (Pearson, 2013). However this might delay the process of project implementation as well which is a significant disadvantage of the approach as well.
For cloud office automation in MetaSoft, an Ad hoc approach of implementation is proposed as it will ensure the completion of the entire process as soon as possible. The structured approach on the other hand is very simple and is useful for small scale projects or organizations (Dinh et al., 2013). Furthermore, the process is quite complex and therefore, following a structured approach might result in a considerable delay in the completion of the entire project and therefore structured approach is not chosen. Ad hoc approach on the other hand is easier to implement as well.
It is essential for Meta Soft to migrate their web Infrastructure either to IaaS solution or to PaaS solution. In order to identify the best approach that MetaSoft can likely choose, it is essential to evaluate the differences between the infrastructure that is offered by IaaS and the Platform that is offered by PaaS. With PaaS, the users have a full control over the data that is being stored and has an authority to manage the applications as well as the services. It is one of the most cost effective cloud solution. However, there are certain security issues associated with the use of PasS which are needed to be addressed. |
On analysing the differences between both IaaS and PaaS, it is recommended for MetaSoft to use of PaaS to consider moving the web infrastructure to the public cloud. This approach is recommended mainly because MetaSoft is moving their web infrastructure into cloud and since Meta Soft has an existing infrastructure the use of IaaS is not needed (Moreno-Vozmediano, Montero & Llorente, 2013). PaaS on the other hand would be a cost effective solution as well. Thus the recommendation of PaaS, is justified.
MetaSoft is considering the use of cloud to deploy the Microsoft SharePoint 2013 from its existing data centre. MetaSoft is considering the use of IaaS, PaaS and Saas. The choice of the approach will mainly be based on the need and the requirements of the organization (Almorsy, Grundy & Müller, 2016). The recommended approach and the issues associated with the chosen approach is discussed in the following sections.
On analysing the need of organization, it can be advised for the organization to make use of Software as a Service for its SharePoint 2013 instance. This is because the office suite office automation products are already being installed in the computers and devices of the staffs. The organization was in need of an approach that would enable the employees to access their data even from remote locations. SaaS enables the access of the data from the web browsers and from the mobile devices as well over the internet (Kavis, 2014). Therefore, it would make it easier for employees to access important data even from remote location. One of the advantages of using SaaS is that it enables the users to gain access to the sophisticated applications provided by the vendor. Furthermore, it can be used in a subscription basis and therefore it will be a cost effective solution for MetaSoft. Thus, the choice of making use of SaaS is justified in this case.
There are a number of problems that MetaSoft might encounter while making use of SaaS. The major one is the security issue. Along with that, SaaS has an issue of faulty integration. The security issues mainly arise because the vendors have an access to the data stored as they control the data. SaaS can be rapidly deployed and therefore certain integration problems arise (Hashizume et al., 2013). The customers have a little control of the system data processing and have no control over the software as well. These are the major issues that MetaSoft might face while making use of the SaaS.
It is essential to address the risks that can be faced by MetaSoft while making us of SaaS. In order to address the security problems, it is necessary to choose a correct vendor who will ensure data security. The integration problems can be resolved by offering a considerable time for deployment of SaaS cloud and the entire system is to be tested as well.
