The paper reflects on the organization “Healey Ltd.” which is a small management consultancy. The managing director of the organization wants to purchase office productivity software in order to enhance the level of productivity but the managing director does not have proper information about the cost as well as benefits of the software. Therefore, it is quite important to provide proper information about the cost as well as benefit of the software to the managing director.
In this assignment, total cost of training and purchase is calculated with the help of spreadsheet. The paper elaborates three important features of office productivity software, which contributes in enhancing both the productivity as well as quality of management. The assignment also discusses three technological advances in terms of hardware and software.
In worksheet 1, we have calculated the cost of training. It is identified that the total cost of the training excluding VAT is £120 whereas the total cost of training including 17.5% VAT is £141.The data view as well as formula view of the spreadsheet is provided below. The data view of the training cost reflects the input data whereas the formula view reflects the formula is that is used for calculating the entire cost of the training.

In worksheet 2, we have calculated the cost of both Office 365 and office 2013. It is identified that the total cost of the productivity excluding VAT is £31, 00. The manager has allocated the budget of £1500 for various software purchases. Using an “If function”, the total cost of the product is compared with budget and it is identified that the cost are over budget. The screenshot that is provided below helps in reflecting the data view as well as formula view.

Office productivity software is one of the categories of application program that helps the users in producing different types of things that include documents, worksheet and graphs. The office productivity software includes some of the important features that include:
Efficient: The productivity software generally helps in managing the various task of the organization very much efficiently. For example by utilizing Microsoft word, the user gets the application of creating, editing, storing and sharing different types of file documents (Cataldo and Herbsleb 2013). It is identified that by utilizing the software the organization can manage the various tasks properly so that in the future they does not face process in accessing the important information or data. The office productivity software not only helps in managing the tasks of the organization but also helps in retrieving data quite efficiently and as a result it is analyzed that the software assists in expanding the capability of data manipulation and analysis. With the help of this software, the employees do not have to work on complex calculation and they can easily revive the outcome of the calculation by simply putting the value (Paasivaara and Lassenius 2014). This software also assists in making appropriate projects, preparing various sales presentations and documents for Healey Ltd. It is identified that by making the management of task efficient, the software assists in enhancing the productivity of the organization and also assists in providing better quality of management.
Minimize Error: The office productivity software can be utilized in Healey Ltd organization. The software can be utilized by the employees of the organization for managing various tasks as well as responsibilities (Fernandez et al. 2016). It generally helps in avoiding the use of paper and thus all the calculations that are generally completed using the software are error free. This is because there is no chance of duplication of data and the calculation that is done by using the software (Hernandez et al. 2013). The chance of error in the calculation that is done by the software is very much low and as a result the organization can enhance its productivity. It is identified that proper management within the organization can only be gained with the help of office productivity software and it further assists is providing appropriate level of production with Healey Ltd. The quality of management that is delivered by utilizing the software is also quite high (Kautz, Johanson and Uldahl 2014). Therefore it is analyzed that the software not only enhances productivity but also increases the quality of management within the organization.
Reduce time of the work: It is identified that by utilizing the office productivity software, the Healey Ltd can save huge amount of time. The manual calculation that is managed by the employees will be managed with the help of the software after its adoption in the organization (Nguyen, Cruzes and Conradi 2015). IT will be helpful in reducing the time of completing a single task. The productivity of the organization increases very rapidly if the organization becomes totally dependent on the software
The three technological advances in terms of hardware and software include:
Employee management software: Employee management software can be utilized in the organization “Healey Ltd” for making the employees performance better and for improving the efficiency of the organization. The software is quite advantageous for the organization as it helps in enhancing employee productivity as well as security within the office. The software also assists in minimizing the payroll and employee management cost (McMahon 2016). The time tracking feature that is present within the software helps in cutting down the breaks of the employees that plays an important role in enhancing the productivity of the organization. The software helps in managing the payroll by providing critical employee data like hour’s overtime, worked and more (Jarle et al. 2014). The data allows the organization to pay each of the employees of the organization equally as per the working hours including the overtime. It is identified that employee management is very much flexible as it maps the entire processes of the business effectively. This system generally assists in cutting down the prices of management for improving the entire profit margin of the organization by taking appropriate funds from the organization.
Cloud Computing: Cloud computing can also be utilized within the organization Healey Ltd for increasing the productivity. It is identified that cloud helps in allowing the employees to stay connected irrespective of the place. It also allows the employees to work efficiently at home if there is appropriate internet connection (Rittinghouse and Ransome 2016). It is found that cloud and virtual desktops provides easy access to the employees that further assists in enhancing employee satisfaction as well as productivity of the business. The services of the organization can be managed with the help of cloud computing as the services are proactively monitored with the help of cloud provider (Fernando, Loke and Rahayu 2013). All the advantages that can be achieved by utilizing cloud computing within the organization are very much helpful in enhancing the productivity of the organization.
High configured System: The organization must use highly configured system for its employees. The high configuration system is very much helpful in increasing the speed of the task completion which in turns increases the productivity of the organization (Chen et al. 2015). The Healey Ltd will be able to deliver exceptional performance as the system helps in managing the task effectively by minimizing the chances of error. It is identified the system helps in providing the facility of greater agility in order to resolve the problem easily. The system also helps in reducing cost by getting appropriate knowledge about all the elements of the configuration that helps in avoiding unnecessary duplication thus the task is completed without any problem (Manikas and Hansen 2013). The high configuration system also helps in minimizing the risk and helps in increasing the level of security.
Conclusion
It can be concluded that the organization “Healey Ltd” can improve its productivity as well as quality of management by utilizing the office productivity software. It is identified that the total cost of the products by excluding the vat is £31, 00 which reflects that the cost of the office productivity software is above the budget of the directing manger of the organization. The office productivity software helps in providing number of benefits that not only helps in enhancing productivity but also helps in providing better quality of management. The software is quite efficient and it helps in minimizing time as well as error and thus the employees of the organization can manage the task properly. The paper reflects on different technological advancements which can be adopted by Healey Ltd for improving their productivity. It is analyzed that cloud computing and employee management software enhances the productivity of the organization. The utilization of high configured system is also useful for Healey ltd.
