Communication is the process of exchanging the thoughts, ideas, expression, message etc with the help of a medium. Living beings communicate in order to lead their day to day lives, to co-ordinate, to develop connection, spread knowledge and gather information etc. communication can be verbal or non-verbal depending on the medium and the ways in which the sender choose. In order to ensure effective communication it is essential to keep the relevance of the message and to use a right medium and right time to get full impact of the communication process. There are several researches undertaken by academics all over the world in order to understand and develop various aspect of communication in the society. In the course of communication I have learnt that there are essentially four main elements in the process of communication: sender, message and receiver feedback. This cycle has been further improvised with other elements by many authors (Habermas 2015). I have learnt the importance of effective communication throughout the course and have also understood that most of the time gap in communication is the reason for conflict and problem in personal and also in professional life. Language, gesture, body language etc are some of the ways in which human beings can communicate with each other (Habermas 2015). In this assignment two major aspects of business communication is going to be discussed: organizational communication and intercultural communication. I have picked these topics as I am interested in management and I would like to work for a multinational company in the future and the insights of these topics will help me achieve my goal.
The process of communication in an organisation can be termed as organizational communication. Before I had taken the classes for this topic I did not understand what was different in the process of communication that is undertaken in everyday life and in an organisation except the fact that it is formal in nature. But I have come to realize organizational communication is very different, the process is structured, and follows a method in order to be effective (Watson 2013). One of the major aspects of organisation communication that I have realized from all the theories is: time. An organisation can be explained as a group of people who have agreed to work towards a common goal (Shockley-Zalabak 2014). Therefore, in order to reach the collective goal the company requires them to be efficient and there is no chance of miscommunication in the process. As a number of people are involved in the process it is essential to follow a structure so that the procedure is not ambiguous (McKay et al. 2013). Mass communication approaches are important in an organisation in order to reach out to a number of people at the same time. I have understood that in the process of communication in an organisation it is essential to understand the people and therefore making interpersonal communication equally important (McKay et al. 2013). For example: a manager has to understand the issues and grievances of the subordinates in order to help them perform well in the organisation. Vertical communication is essential for an organisation as it ensures motivation and in turn improves the performance of the people as well. I think having an internal website in order to communicate with the people of the company is essential for a business communication (McKay et al. 2013). I have learnt the importance of both formal and informal communication and most importantly I have learnt how to write an e-mail. I thought writing an e-mail is one of the most basic elements of technology but now I realize how it can make or break the impression that has been created. However, I feel it is essential to have face to face conversation in order to make the process communication more effective, this is not only in an organisation but also in personal life. There is relevance of both verbal and non-verbal communication in an organisation, language together with gesture and body language make up a complete process, the tone, the pitch, the content of the communication is essential in verbal communication. I have learnt that feedback from the supervisors or managers in the organisation is essential in order to understand the progress and the gap in the performance, therefore making the process of feedback and evaluation an important aspect of organisation communication. I think this is also one of the ways in which the managers or supervisors and motivate, appreciate and encourage the employees (McKay et al. 2013).
The company has to strive to align the objective of the company with the interest of the employees in order to improve efficiency and performance. There are several channels and medium that a company uses in the process of communication on a daily basis it is important to align the interest of employees (McKay et al. 2013). The four strategies that are taught in the course in order to ensure effective communication in an organization are impactful in interpersonal communication as well. Informal communication is also significant, in the day to day operations there are a number of communication instances with the colleagues or with the supervisors which are not formal in nature there are no structure to the process no rules or frameworks that has to followed. In the organisation communication informal communication can resolve conflict on the other hand can also cause conflict. I have gathered that there is a significant influence of organisation’s culture upon the ways of communication (Watson 2013). The values and principles guide the culture of the company and as communication is a significant part of culture, I it is influenced and driven by culture as well. For example if the culture of the company is to encourage the people and the hierarchy of the company is not very strict in such an organisation the communication in between the management and the employee is certainly lucid. Organisation communication effectiveness plays an important part in the success and achievement of the organisation. I have understood that it is important for the managers to communicate with the employees on a regular basis not only to give instructions but also to provide support and guidance (Watson 2013).
This is one of the most interesting topics that I have learnt in the communication section. I know that culture has an influencing impact on the communication in terms of language that is used , but the most interesting part is how culture of two different people can create gap in understanding and also can easily lead to misunderstanding. I think it is important for all multinational companies to appoint top level managers from the culture of the country where the company has operations. Apart from language I have learnt that body language and gesture are some of the underlining things which heavily impact the outcome of intercultural communication (Carbaugh 2013). Understanding culture is important in order to avoid stereotypes this is the most important lesson from this topic, and change in culture is significant. Therefore in order to ensure effective communication in between two people who are from two different cultures, according to me should be formal at the initial stages and with the flow of the development of the understanding and relationship in the future (Fan et al. 2014). I have a friend who is from Spain and we have been friends for a long time now, when we initially met, she was a new girl in the town and her language was not as same as mine therefore the conversations that we had were very formal and also I remained cautious all the time in order to understand her ways, the ice broke easily as she is a cheerful and friendly person. Today we are friends and in the process I don’t think culture has ever been a barrier in the relation that we share today. Now I know that this process is called Acculturation (Johnson 2013).
During the course the most fascinating model of culture that I studies is the Hofstede. The perspective of the model is holistic I think. The definition stated in the model mentions culture as a collective program. And I think this is the most appropriate way of defining culture. Associating the culture with a particular country is helpful of a company to understand the compatibility while deciding upon the expansion strategies. But having said that the information can be a little back dated as the data was refreshed in latest 1989 and from the employees of just one multinational organisation (Beugelsdijk et al. 2015). I have learnt intercultural communication from a management perspective from the course rather than a sociological topic.
Conclusion
It can be concluded form the above discussion that communication in an organizational set up is one of the most important aspects that drives towards achieving the goals and objectives of the company. Intercultural communication understanding and theory is a part of organisation communication. Diversity and inclusion of culture opens opportunities for the company to explore new and improved territories. I have learnt how miscommunication can be a cause of conflict; on the other hand effective communication can be a reason for resolving the conflicts.
