In a day to day life of a person it could be analyzed that work related with any of the aspect cannot be completed without communication, in the same manner organizations working in the huge market which is full of competition it is required that effective as well as appropriate communication system should be used. Promoting the activities which could help in enhancing the use of communication at the workplace provides a change to grow in the market It has become important for the oraganisations in present scenario that they should focus upon the communication and try to make it more effective set as well as efficient. The report is developed in relation with interpersonal communication in which information related with the communication issues faced by me at the workplace will be discussed a well as diagnostic tools which could be adopted by the organization so as to make the communication system more effective will be provided. Woolworth is taken as a company example because there are were certain communication issues which were faced by me in past 2 years as I was working over there and was facing challenges in managing the communication effectively. We as an employees had to interact directly with the customers so as to ensure that that their queries as well as needs could get fulfilled by us. While working at the workplace there were certain other aspects also which were taken into consideration by me in relation with the communication. Like employees of different diversity like I was from Australia itself, there were certain employees who were from UK and India who were facing issues with communicating with others also there was same conditions with us also as we people of Australia were facing same issues while communicating with them at workplace. Hence, in this report further information related faced by me as an employee of Woolworth as well as employees working in are being discussed in relation with communication. The directions are being provided of how a communication system could be made more effective so that people could work appropriately at the workplace and communicate with each other in a proper way while working in the organization.
With the self actualization method I have developed the information related with the communication and the issues that I face while communicating with others (Freytag & Rauscher, 2017). The information in this report is being provided in relation with the problems faced by me while working in an organization. I was facing various communication issues while I was working in Woolworth also there were many of my colleagues who faced the communication issues at the workplace. I have analyzed that at Woolworth there were certain issues with the management also as management was involving in the communication process with the employees which was a de-motivating factors for all of us (Johnson, et. al., 2016).
To ensure that the research in relation with the internal communication of Woolworth could be gathered in an appropriate manner I visited the organization and evaluated all the requirements of the company (Paliwal, et. al., 2011). After visiting Woolworth I have discovered that company is managing the things in an effective manner and there are various technical aspects used by Woolworth to manage the communication system. Like Walky Talkies- microphones etc. are being used by Woolworth so as to manage the flow of communication in a proper way (Peate, 2010). While researching with the organization I have evaluated that certain challenges were being faced by the organization in relation with communication system which was affecting the customers as well as employees working at the workplace (Tarim, 2014).
With the help of various studies and researches I have gathered the information related with the diagnostic tools which will help in making the communication system more effective and appropriate at Woolworth (Vangelisti, 2016). Diagnostic tools about which I have learnt are Johari Window Model, Communication Style Questionnaire, Interview Method, Assertive Questionnaire, Feedbacks, etc. These are some of the diagnostic tools which are being evaluated by me with the help of various studies. These tools will also help in diagnosing the problem of Woolworth in relation with the communication faced by the organization (Coffelt, et. al., 2016).
Johari Window is the tool which is related with the perceptions of the people as it suggests that the perception of the employees as well as customers helps them in making the decisions related with communication (Smith, 2015). Perception helps them in deciding how to communicate with the person. This is the factor which explains the aspects related with the known as well as unknown area and arena. It suggests that the facts which are known by the people by themselves are being tracked, there are certain aspects which are unknown to the individual, these aspects are known to other people and there are certain aspects which are unknown to the person itself as well as other people attached with the person (Knight, 2016).
Gathering appropriate set of information related with the Johari Window and gathering information related with the people have the mindset with other each other, I have developed two questionnaires namely communication style questionnaire and assertive questionnaire (Mahobia, & Jain, 2015). In which the communication style questionnaire which was developed by me with the help of the experts included questions related with the people normally face with communication system at the workplace. Individual response of each and every employee of one unit of Woolworth was taken so as to gather appropriate set of information regarding the issues faced by the employees at workplace (Cardon, 2016).
The assertiveness questionnaire included the questions related with thoughts, needs and requirements of the people, honesty level questions, etc. with the effect of which information related with the personal declaration of the employees was gathered and assurance was made that the employees will be provide effective set of support in managing communication system (Nielsen, 2012).
Feedback of the employees is another tool which was used so s to diagnose the issue related with communication at the workplace. Feedback of each and every employee of the unit of Woolworth was taken regarding the workplace as well as communication system that Woolworth has. Feedback helped in gaining appropriate set of information regarding all the aspects of communication issues with the help of which several decisions were taken by me in relation with managing the communication system of Woolworth and managing all its internal aspects in proper as well as effective manner (Downs & Adrian, 2014).
Review of the literature is one of the most important aspects attached with any organization. It is necessary that the literature should be reviewed in a proper manner so as provide in depth information related with various aspects of the research topic (Gemignani, et. al., 2014). This section of the research will avail appropriate set of information related with communication system and the importance it shares in an organization. With the help of various secondary sources of data collection it could be evaluated that communication plays a very vital role in managing the work as well as all the aspects related with professional work as well as non professional works (Heath & Bryant, 2013). It is a duty as well as responsibility of each and every organization to focus upon making the communication system more effective because it is the only aspect with the effect of which things at the workplace could be managed in a proper was well as effective way. Diagnostic tools of communication helped in evaluating various issues faced by the employees as well as customers attached with the organization in relation with the communication (Hooff, 2011).
In the feedbacks taken from the employees it was analyzed that approximately from 2 years employees working at Woolworth are facing the issues with coordination as well as communication (Kreps, 2013). It was evaluated that employees of Woolworth were facing issues with managing the foreign customers as the employees were not having proper set of communication skills so as to communicate with them (Corman & poole, 2013). They were facing issues with understanding the foreign clients as well as providing them effective set of services. Woolworth is the organization which is growing day by day and people coming to Australia for job purpose, vacations, holidays, official meetings prefers to visit Woolworth so as to ensure that they could shop for almost everything less than one roof (Chaloupka-Risser, & Füssl, 2017). Therefore, employees have the issues with managing such type of foreign clients as the employees are not multilingual and cannot understand and speak the language of the foreign customers. This is affecting the image of Woolworth in the market. This was one of the issues evaluated with the help of diagnostic communication tool (De Waele, et. al., 2017).
Another issue which was evaluated with the help of the diagnostic tool was that there was not proper flow of the communication or information at the workplace (Freytag & Rauscher, 2017). It was evaluated that employees were facing issues as for every query they will have to provide the information to Team lead which then reaches to the assistant manager and then he sends same to the manager for final approval (Johnson, et. al., 2016). This is a very lengthy process which is being adopted by the employees to get the solution for their query. It could be evaluated that employees were facing issues with the restricted communication system which was being followed at the workplace (Paliwal, et. al., 2011). Employees wanted that they should be provided freedom to provide their suggestions and discuss their issues with the top level management so that effective as well as fast decisions related with the issues could be made and same could be resolved by the management of Woolworth so they employees could work effectively at the workplace (Peate, 2010).
Understanding each and every aspect indulge in the report it could be evaluated that proper as well as effective communication system is required at the workplace of Woolworth (Tarim, 2014). It is necessary that the employees should be provided the support system with the help of which they could communicate effectively with the people as well as they could share their views and issues with the management.
To deal with the first issue Woolworth could provide training to each and every employees working at the workplace (Vangelisti, 2016). Classroom training is one of the best raining which could be provided to the employees of Woolworth. Classroom training will help them in enhancing their communication skills. In classroom training information related with major languages should be provided so that employees could understand learn the multi-languages and manage the customers in a proper way (Coffelt, et. al., 2016).
Adopting such type of technique will help in enhancing the skills of the employees and will provides support system to them with the effect of which they will be able to sustain in the market and will be able to ensure that proper as well as relevant explanation to the queries of the employees could be availed to the customers coming to Woolworth for shopping purpose (Smith, 2015).
Another strategy which could be suggested to Woolworth so as to ensure that the issue could get resolved is applying the open door policy for one day. Management should plan to meet with all the employees on a certain date of the month in which a trail should be made that management should hear to the queries of each and every employee and provide them relevant set of support in relation with the queries and try to resolve them as soon as possible (Knight, 2016).
Developing healthy working environment and managing the flow of communication in an effective way will help Woolworth to manage the work in a proper way (Mahobia, & Jain, 2015). Managing diversity by organizing fun activities as well as cultural activities will help on building positive relationship among the employees with the effect of which they will be able to coordinate as well as communicate with each other (Cardon, 2016). It is necessary that all the people working at the workplace should enjoy the internal environment of Woolworth with the help of which assurance could be made that its internal decorum could remain maintained.
Management plays a very vital role in managing the working environment and it is required that the same should try to make the environment happy as well as healthy (Nielsen, 2012). Flow of the communication should be done in a proper way by the side of management so that employees could get proper direction related with the work and they could work effectively. Working with appropriate set of directions ensures that the same could get completed within the deadlines as well as within quality which is required to complete the same.
There are various set of theories which could be applied by the management at the workplace because these theories will help in providing relevant set of support at the workplace. I would like to suggest that Woolworth should try to apply Maslow’s Theory of Motivation as well as Modeling Behavior theory so as to ensure that the proper set of direct cold be availed to the employees (Downs & Adrian, 2014). In my academic career I have learnt that theory of Maslow’s provides a positive support to the organizations in which assurance is being made the employees will be provided better support on the other hand they will remain motivated and will work effectively at the workplace.
I have analyzed that the organizations which works towards the motivation of the employees could manage the work as well as could ensure to sustain (Gemignani, et. al., 2014). Motivated employees remain happy and communicate effectively with each other. These employees work towards to process the work within the time as well as quality so that organization could sustain. Rewards and recognition is one of the aspects which will help in the motivation of the employees with the help of which they will prefer to process the work with quality. Providing rewards for the behavior of the employees will help in promoting the healthy as well as effective working environment as with the help of such activities employees remain motivated to manage the behavior and ensure to behave effectively with each other (Heath & Bryant, 2013).
360 Degree appraisal is another aspect which should be focused upon by the management, it is required that the appraisal should be provided to the employees with the help of 360 degree appraisal by evaluating the potential of the employees and their behavior (Hooff, 2011). Behavior of the employees will be judged and appraisals will be provided on the basis of the same so that they could provide better as well as effective set of support to the company and internal decorum of the business could remain managed.
According to me these are some of the aspects which could be adopted by Woolworth so as to ensure that it could succeed in managing the internal decorum of the business and could manage the effective communication system among the employees as well as management (Kreps, 2013).
