Information management is concerned about the cycle of organizational activity where information is acquired through more than one source and that information is passed and distributed to those employees who are in need of that and the management also aims towards the disposition of information through archiving or deletion (Mithas, Ramasubbu and Sambamurthy, 2011). Therefore, information management is considered as the most essential part of those organizations that needs enormous information of customers, suppliers and also regarding the latest trends. Furthermore, this cycle of information management involve many stakeholders like people who assure the quality and accessibility of information, some people are responsible of its safe storage and disposal and those who requires it for the purpose of decision making. Furthermore, information management is closely related with the management of data, systems, technology and processes (Bentley, 2015).
Further, these days information management is mainly used in the social media products and services for the purpose of gaining information regarding existing customers as well as potential customers (Kabir and et.al., 2014). Along with that, social media services are used for distribution of information regarding the product and services of the company. Additionally, these social media services are also used for saving and disposing off the information. For this aspect, various social media and digital services firm have been taken for bringing the understanding regarding the role of information management in social media products and services (Helsens and et.al., 2010). This report also describes how these companies are carrying out their activity by taking information through their social media products and digital services and also the critical analysis of the companies have been done for using information management through social media products and digital services.
This information is managed in order to create sustainable competitive advantage in the market. This way the firm can build sustainable competitive advantage in the market. Furthermore, there are various aspects for which company do the management of information through their social media and digital services (Chang, 2011). For keeping all the information on Google cloud, a person has to share his information to the Google. Similarly, by making an account on Google plus, Facebook, LinkedIn, etc. a person has to provide his all information and these acts as the information input for these companies who provide social media product and digital services. These companies then do its information management where they acquire the information about the user and store them in their database (Moussiopoulos and et.al., 2010). Further, they use this information to target its market and provide them extra benefit for retaining them. Along with that, they also allocate the information to other companies who are in need of the information about the potential customers. Further, PayPal payment system and Square payment system also acquire the information of their users when they get linked with their phones. These companies also safeguard the information and dispose it also whenever needed.
According to, Bourne and Proxpro (2012) role of information management within social media products and services is considered to be highly essential because through this they can acquire information about their users and with this they would come to know about the number of users using the particular service of social media and digital world. For example, the Facebook, Twitter and LinkedIn use information management for gaining the information of their users so that they can make the lead in the market regarding their users and this way they can gain competitive advantage in the market of social media platform. Similarly, all other clouding service providers like Google, Amazon, Microsoft, etc. also do the information management in order to get the knowledge about their users. With the highest count and by providing excellent service, the company can gain the sustainable competitive advantage in the market. Kruger and Johnson (2010) also remarked that these companies acquire the information of the users or customers and store their information in order to be used by them or by the users in future. On the basis of ensured quality, security and excellent storage, their competitiveness is calculated and this way they can sustain the competitive advantage in the market of social media products and digital services. Therefore, the role of information management in these services is considered as vital and due to this activity of managing information, all these companies are gaining high popularity in the world and this way they are able to sustain competitive advantage for the longer period of time.
However, Kulldorff (2010) argued that activity of information management which is carried out by the companies of social media products and digital services are not always considered to be effective. The reason behind this is that it does not always guarantee security of the information which is shared by the users of these platforms. Furthermore, this is the point of concern that information system has the loop hole of security issue and this way there are chances that user’s information is not safe. As there are many hackers who can hack the sensitive information which may lead into the heavy disruption. Therefore, information management in these companies cannot play an important role. In support of this, Letellier and Eppich (2015) commented that firstly the information is acquired and that information is saved onto their database cloud in order to make use of them in future and this creates problem of security. However, these information should be disposed off immediately in order to make it secure for the users of these applications. Therefore, this will not lead to the data loss.
On the contrary, Madden (2012) argued that, storage of information in the information management is required for usage of customer only. It is because, at times when customer forgets their password for login into these websites, through the stored application only their identity is verified. Therefore, storage of information is as important as its acquisition. Furthermore, in all these high-end companies such issues are not always faced. Moreover, this information is also used by other companies for reaching their target customers (Ghosh and et.al., 2012). They take information from these social media products like Facebook, Twitter, Google Plus, etc. and contact the potential customers. For instance, Marks and Spencer has its own page on Facebook and Facebook keep track over the people who likes the page of Marks and Spencer and follow it properly. This way, M&S comes to know about the people who are following them and they attract their likers by providing them good offer and benefits. Therefore, consumers can be benefited from the various companies due to this information management done by social media products and digital services. In contrast to this, Heller Baird and Parasnis (2011) commented that, information stored by these companies should be used by them only and for their need and not to be disclosed to others for their benefits. There are high chances of misusage of the information of people.
As per the research conducted by Ang (2011) information management in all these companies helps them in better communication with the people and through this they can easily identify the emerging needs of their users. Thus, they can provide better services to their customers using information management in an effective manner. Furthermore, with this information, they would be able to take better decision for their services which are provided by them to the customers. Moreover, with this information management, the company would be able to provide access to all the application to the customers. For instance, using the same Gmail ID, a person can logged in into Google plus, Android applications store and many other applications. Therefore, this reduces the time and efforts of the consumers. Along with that, company can easily access the information of their existing customer in an efficient manner (Madden and Smith, 2010).
With the above discussion, it can be analyzed that information management has the vital role within the social media products and digital services. Furthermore, it has also been found out that, by using information management, company can easily access to the information of their existing users and also it can identify the emerging needs of the customers. This way, the firm can easily provide them many new services through which the customer can be made satisfied (Gritzalis, D. and et.al., 2014). Therefore, the company can attain the sustainable competitive advantage by effectively doing the information management. Furthermore, it has also been analyzed that data and information gathered from the customers are stored in their database for making future usage. However, there are few authors who oppose it as this creates the concern of security issue. Whereas, some authors supports this act and commented that the stored data is used in many sense as when customer forget the password then the company verifies the information with that of stored data and through which they can generate the password easily (Weaver and et.al., 2016). Furthermore, it can also be assessed that through stored information a person can login into more than one account or website using the same ID. Therefore, it saves time and efforts of the users. Therefore, information management is considered to be the most effective activity. Along with that, this kind of services enhances the quality of service to be provided by these companies to the users and through this many new users will be attracted towards the firm. Hence, this creates the sustainable competitive advantage in the market of social media (Gao, Barbier and Goolsby, 2011).
Along with that, comparative analysis can be done between the Google Plus and Facebook in the field of information management. Google plus take all the data already from existing Gmail ID, whereas, for creating account on Facebook one has to feed all the information. Furthermore, Google plus has made very complicated features for creating friends and posting something on the wall. On the other hand, simple features have been installed on Facebook for connecting to the people and also to post anything on the wall. Further, security is equally good in both the applications. However, awareness about Facebook is more than Google Plus as everywhere Facebook is more marketed. Therefore, this makes the competitive advantage of Facebook more than Google Plus (Google+ vs. Facebook, 2017).
Furthermore, according to Cheston, Flickinger and Chisolm, (2013) Google plus is mainly used by businessmen and other startups and they post their forums for promoting their businesses. Moreover with every plus1 by other users, the forum get spread in their community and this is how the chain continues. This way information gets spread very quickly in Google plus. Whereas, in Facebook, information does not get spread very quickly just by tapping like option. In contrast, Tufekci and Wilson (2012) commented that in Facebook also people who like any of the company’s advertisement get displayed on their friend’s wall. But Kulldorff (2010) argued that there is privacy option for users in Facebook and only those people can see their activities who have been permitted for. Therefore, companies prefer Google plus for their promotion than Facebook as on this information get spread fast and to wide areas. However, Weaver and et.al. (2016) said that consumers of the products are more on Facebook than Google plus so company can get more information regarding their customers on Facebook than Google Plus. On the other hand, information management can be done more on Google plus than Facebook because only genuine customers will take interest on Google plus than on Facebook.
Conclusion
From this discussion, it can be concluded that role of information management is essential in social media products and services. Furthermore, it can also be concluded that all the social media companies and digital companies uses information management to carry out their services (Tufekci and Wilson, 2012). They also use this for the purpose of marketing their product and services. Along with that, companies have gained sustainable competitive advantage using this information management in the market. However, there are various issues for which tis service of companies are opposed.
It can be recommended to the social media companies that they should use the stored information for themselves and does not provide them to other companies. Furthermore, they should also maintain the security of the stored information in order to avoid any misuse of the gathered information of the customers (Cheston, Flickinger and Chisolm, 2013).
