Interpersonal communication plays an integral role in everyday lives and in organizational effectiveness (Education, 2015). As per Shockley and Zalabak, communication plays vital role in both organisation and in professional field. There are various pertinent interpersonal communication styles that are used and that which should be deemed to be used. As interpersonal communication plays a immense role in transferring of message from one person to the another, such skills are necessary to be developed. Friends, family, colleagues uses communication styles like Assertive, Aggressive, Submissive, Manipulative and Passive–aggressive to exchange information and message on daily basis. Assertive style has been proved the most effective style for an individual to analyse their positive and negative aspect of communicating with people at work as well as in personal life (Hybels, 2014). Though assertive style has been considered as the most prominent style, several evaluation needs to be made in order to establish that such styles are followed. Thus, the scope of this essay is focused on self-reflection for diagnosing specific interpersonal communication styles. Tools such as Johari Window, Communication Style Questionnaire, SWOT Analysis, Big Five Personality Traits and Assertive Questionnaire has been used to analyze my self-reflection for inter personal communication skills (Fook, 2007). On the basis of self-reflection, I have taken many as attending seminars, workshops and gained knowledge through reading books published by multiple authors on interpersonal communications. Professional life where I was suffering to communicate with people, which has been enhanced and is successfully changed the communication skills. Hence, the scope of this essay analyses my self-reflection along with appropriate literature review to understand relevance of each model and an action plan to improvise on drawbacks (Bambacas, 2008).
Facts and facets for interpersonal communication, which I was using in daily life, have been more elaborately recognized through this study. Three diagnostic stools like Johari Window, Communication Style Questionnaires and Assertive Questionnaire has been referred in order to diagnose the learning skills reflected (Knapp, 2014). All three stools have same effect on study about learning of interpersonal communication style and its uniqueness. According to Bearings (2009), Communication style Questionnaire is filled from taking inputs peers, friends and colleagues has helped in a great way to recognize communication technique and personal ways that one adopts to tackle people. These tools gave me an opportunity to overcome my weaknesses in the area of communication skills through reflection (Morgan, 2009). Studies of self-communication style are explained as below:
Johari Window: This tool takes four main areas, which are essential to analyze self-characteristics. Branson(2007) mentions Open area of mine is known by every individual has been acknowledged. Peers have recognized self-characteristics like confident, brave, bold and dependableness through feedbacks collected by filling questionnaire from people (Shenton, 2007). As verbal is a most effective form of self-communication style with others. I have skills and ability to communicate with people in both writing and verbal form. Body languages are an integral part of non-verbal interpersonal communication which expresses and conveys feeling to others.
Johari Window showed reflection of areas where I need to improve myself for which I was not aware. People never made me realized that my interpersonal communication style was not acceptable by them. People ignored my negative attributes as my positive qualities for more useful. I am a good leader hence my managerial skills of communicating with people in an effective way is needed to learn and improve by weaknesses. I thought that my only few qualities like calm, empathetic, helpful nature and intelligence are enough to attract and convince people very fast. These characteristics are my personal hidden facts about myself, which people do not understand that I possess as a leader (South, 2007).
People known about my facts, as I know that I am introvert, responsive, self-assertive, tense and idealistic but never point out characteristics of mine while responding during questionnaire. This model helps me to recognize my aggressive nature, which is known as assertive communication style. Communicating with team to achieve organizational main objective need positive assertive personality as a team leader, which should be accepted by every member.
Communication Style Questionnaire: To improve my area of communication style it has been analyzed by preparing and filling communication style questionnaire. I got an idea from internet by surfing literature and concept, how to design and prepare questions to put on forms to collect data from people about my communication style (Knapp, 2014). Below is my positive and negative styles derived from the questionnaire filled by people:
Without knowing the problems of people and what will be effect of my decision on them, I throw my views and ways that I need to achieve my motive (Reeve, 2012). Aggressive nature of mine denotes only think about myself has been recognized ignoring my other communication skills.
People are aware that my style of communication is well understood by people in terms of my needs and desires. This shows that I have passive aggressive style of communication.
Data collected from questionnaire showed the reflection of my style of communication that I don’t keep peoples need as priority (Takano, 2009). My qualities of many communication styles are highlighted while pointing out passive communication style.
I have individual style of handling matter by expressing my views. Questionnaire helped to recognize views of people about me (Madlock, 2008). Assertive style took me to a winning situation that my positive qualities help to convey my message to people in an effective way. It can conclude that I possess both the qualities of passive and assertive communicator.
Through SWOT analysis I realized my strength that I possess, which includes quality of assertive communicator like can express ideas through powerful language skill which is foremost essential in both professional and personal life. Weakness which I was unaware highlighted like less experience dealing with people. This lags me behind to understand others views while working. I have got an opportunity to overcome by weakness through seminars and workshops attended to change myself. Experienced gain through training and reading helped to become more powerful leader. Threats known will help to overcome for enhancing growth.
I have thinking that any individual cannot judge always my positive and negative qualities of communication styles (Borghans, 2008). I realized that I have to improve myself by changing my habit to throw only my views on people without considering their views. Else I have all the qualities to be a leader like extraversion, openness, neuroticism and so on.
Assertive Questionnaire: Individual characteristics have been analyzed through Assertive Questionnaire form which has been filled by people by answering questions regarding assertive nature (Carreño, 2007). This form which contained many questions like non-verbal characteristics, behavior towards others, body language and personal experience faced with individual. Internet has helped to prepare such questions. I have an assertive nature which is also aggressive in characteristics has been pointed out particularly by deeply going through data collected from various questionnaires.
Authors and scholars have developed many theories which have been published for self-reflection diagnostic. These theories has helped to identify the positive and negative about self-communication skills.to understand individual communicational skill in a better way one should uses related concept obtained by authors.
Joseph Luft and Harington ups Ingham developed theory about how Relationship and behavior with other people gives judgment about an individual communication style of dealing (Verklan, 2007).
The ways Johari window is used to describe and analyse self-communication skill are as; One can identify its communication skills by understanding objectives developed from these grids. Facts open to all including self are those qualities identified easily by anyone. People are unaware of many qualities about individual characteristics which are best and some needs to be rectified. These are only known by himself or herself called hidden skills and unskilled qualities (Jack, 2007). Blindspot referred to those areas only detected by others which are unknown to individual. Many areas are not considered to detect self-communication style as it is neither known to peer or nor personally. This is a very useful tool as it allows detailed analysis of pertinent and relevant facts and a thorough analysis. this methodology is used and adopted by multiple number of institutes as well as organization for their analysis.
Questionnaires designed and prepared in the form of paper containing several questions related to self-style used to convince people (Chen, 2011). D.E Broadbent study which was published by Elsevier about Perception and communication described the uses of collecting data via Communication style questionnaires. Opinions, views about individual have been assumed by people by filling such questionnaire prepared. Below is the form prepared to find out communication skills of an individual. (Elliott, 2008)
Assertive skills of an individual have been recognized with the help of data collected through Assertive questionnaire. Wheeler theory reflects the assertive qualities of an individual through questions designed (Lumeng, 2012). Positive attitude of an individual has been recognized which is assertive personal characteristics. Questionnaire helps to detects how individual fulfill goals along with considering and accepting others views and ideas. Capable of winning others through emotionally, along by showing and using leadership skills. Leadership skills attain without expressing through verbal and body language. This is a specific tool and questionnaires that has been incorporated for the purpose of understanding communication styles that are used across organizations and their people. As interpersonal communication has immense relevance in day to day functioning of organizations such methods are used regularly for analyzing various attributed amongst individuals.
Internal strength, weakness along with how opportunities help to detect self-communication skills and its threats reflects on day to day communication at work (Thomas, 2014). Globally accepted, recognized and successfully adopted by organizations and individuals.
Individual characteristics how they deals personally with others during work like openly, accepting others opinions, psychologically and so on (Bidjerano, 2007). Big Five personality helped individual to rectified themselves through reflection. The Big Five personality traits is also known as five factor model that helps analyses personality of individuals. Psychologists devised five parameters openness to experience, extraversion, agreeableness, neuroticism and consciousness for arriving at detailed analysis of personality. These traits are often referred to as OCEAN or CANOE strategy and helps attain a detailed analysis regarding a particular individual, it is highly accredited and applicable in multiple situations across organizations.
I have changed my communication style within the time frame of just 6 months by taking possible action on the areas of improvement. I attended Programs and seminars which was organized for people to improve and enhance communication skills, has even helped me in many ways. Aggressive nature acts as bearer for my progress which I have learned to control by accepting others views and considering their opinions. I will try and maintain self-help journals which will help me track my progress in regards to various communication skills. I will accommodate the various self-reflection and analysis by means of these methods to help me overcome the challenges that I face in communication. I aim to become a good interpersonal communicator with high skills in the area such that I can easily achieve my career goals through such endeavors. Else my positive qualities like assertive communication skills helped to attract people and achieve my goals at work in organisation as well as made me a great communicator. My seniors and colleagues guided me through their experience to attend the workshops to increase my communication skills for bright future and growth. Knowledge gained from attending seminars on how to deal day to day communication in an effective way and upgraded my professional bio data for future growth in other organisation. Books released by well-known authors on communication to motivate people have helped to upgrade myself. I collected this books from the library provided within CQU. Assertive communicational skills which are open have been changed via reading such books. Reflection has helped to criticize myself on the negative part of my communication skills. Growth can only be seen if i improve myself more by realizing what problems I face during communication.
Conclusion
Communication act as a medium to transfer views and feelings to others in a personal as well as professional life. Any form of communication can be used to convey messages to other people which can be either verbal, nonverbal, body language, gestures etc. Professional field growth is depended highly on how individual takes an advantage by using Assertive communication style. Thanks to all these three tools Johari Window, Communication style Questionnaire and Assertive Questionnaire through which I was able to make out my lacking skills and rectifying and educating myself in that particular areas. My growth at work and knowledge enhancement is advanced through reflection by self-diagnostic.
