Business communication and organization culture plays a critical role in the productivity and the success of the business organizations (Guffey & Loewy, 2015). The Bank of New Zealand is one of the largest ad profitable banks in New Zealand (Ban of New Zealand, 2017). In the present report, a secondary research is conducted on the organization to explore the business communication strategies used by the organization and the impact of the organization and the country’s culture on the productivity of the organization.
1.The business communication can be defined as the process through which the information transmits within the organization. In an organization, the flow of information can be through informal modes or formal modes. In the formal communication, the message is passed through officially designated channels. The formal communication can be categorized into four categories, upward communication, downward communication, horizontal communication and diagonal communication. In the upward communication, the information is transmitted through lower level of organization hierarchy to upper levels. The examples of upward communication are performance reports which are created by lower level employees and reviewed by the upper management. The downward communication refers to the process in which the information flows from the upper management to the lower level of hierarchies in the organization. The common examples of downward communication are notice boards and official emails (Papa, Daniels & Spijer, 2007).
The horizontal communication is different from the vertical and other form of business communication, as in this process communication takes place between the people in the same hierarchal level. The information can be transmitted through emails, group meetings, conference calls and podcasts. The transmission of information takes place between people, division units at the same level of organization hierarchy (DuBrin, 2008).
The diagonal business communication refers to the process in which the communication takes place between executives at different levels of organization. In this process, the communication takes place between managers and the workers at different functional positions. It is commonly used in project-based or matrix organization. It can be used to communicate the changes in organization objectives or obtaining information of different aspects of organization communication (DuBrin, 2008).
The informal business communication is also called grapevine communication wherein the communication is conducted without following and predetermined rules or policies. The grapevine communication refers to the process of spontaneous exchange of information between two or more persons of different official statuses without following official rules and formalities. The examples of informal communication are the information transmitted at lunch or tea breaks, conversation, phone calls or text messages. Generally, this information is transmitted during socialization of the employees (Lunenburg & Ornstein, 2011).
2.The organization culture refers to the shared beliefs, values and assumptions of the organization. The shared values of the organization have a strong influence on the behavior, act, dressing and the performance of the people. The employees learn the organization culture by using stories, rituals, heroes and the organization symbols. The culture of the organization can be learnt from the organizational stories which refer to the narratives of the significant events or people like the founders of the organization. The events are based on the breakthrough innovations or the reaction to the past mistakes. The cultural values of the organization can be reinforced through the stories of the organization’s heroes. The organization stories are transmitted through a culture network and provide employees with aim and reason for achieving organization’s objectives. The corporate rituals are also significant in the reinforcing the values of the organization. It is the use of the repetitive sequences to express which value and goals are most important for an organization. The cultural symbols express the culture of the organization in an unspoken manner. It expresses the personality of the organization such as whether it is fun, serious, casual or formal. The organizational heroes refer to the top management and the leaders of the organization which are the role models of the employees and personification of the organization culture. The behavior of the organization’s leader reflects the philosophy of the organization. In the bank of New Zealand, the organization culture is transmitted through rituals, stories and symbols. The ambience of the organization is designed on the Blue theme which reflects the ambition and high aims of the organization. The physical property of the organization reflects the theme of boldness and bravery. The employees are encouraged to bring out of box ideas and innovate to ease the operation process. The talented employees of the organization are rewarded appropriately to create an organization culture wherein the employees are given high importance. The organization also focuses on the workforce diversity and relates it with the high performance of the organization (Bank of New Zealand, 2017).
The culture of the nation and the people influences the culture of the business organizations in a country. The people of New Zealand are known for simply getting things done with whatever resources are at hand. It is due to the geographical location and the limited resources in the island country. The New Zealanders are highly independent people and likes to get things done on their own. It reflects on their work practices. Due to the low population of the country, the size of the businesses is also relatively small; therefore, the people have to have to take many responsibilities which can increase the skill set of the employees. The organization layers in the company are also relatively small. The work culture of the country also reflects on the processes of the Bank of New Zealand. The employees are independent and suggest innovative measures to improve the working of the organization. The employees are also independent and take various responsibilities according to the situations. In the nation’s culture, the personal lives of the employees are highly valued (Schabracq, 2009).
It is recommended that the organization gives priority to the personal lives of the employees to create the organization culture more relevant to the organization culture. The company should also promote workforce diversity and increase the work flexibility. It will allow the employees to work independently and take various work responsibilities. It will also foster the local culture of the country to work independently and takes various responsibilities.
Part 2:
1.The communication is an important part in the individual success in the corporate world. It is important to demonstrate effective communication skills to present the viewpoints effectively and convince the management of the individual potential. There are four types of communication modes such as professional, presentation, written and group work. It could be evaluated that the key strength in the professional communication is the use of forma and clear language. The use of formal and clear language is important in the communicating to the subordinates and coworkers. It gives a strong and clear message. Other than that, in the professional presentations, the use of graphic and visuals can be considered my strength. I believe in high preparation before group communication which reflects with the use of visuals, theories and the statistics. All of them are gathered through intensive research. When I am about to give preparation, I research on the presentations in the similar topics, try to accumulate as much knowledge as possible and focuses on attractive designing of the presentation. The use of attractive designs in the presentations assists in holding the interest of the audience for a longer duration. During written communication, I use emails commonly. During the study of the business communication course, I realized that it is important to customize the message according to different audience. It can create high impact on the receiving audience (Frey & Fisher, 2011). Moreover, I also understood that while the message has to be polite, it has to be clear in discussing its objectives. I have strong team working skills. I like to work in team and easily adjust with the team members. I have good listening skills and try to understand the viewpoint of other member.
However, there are certain instances at which I realize that I lack communication skills. During the professional communication, I realized that I lack the confidence in giving bad news or reviews. I avoid unfavorable and bad situations. Moreover, I realized that during group presentations, I feel unconfident in the presence of large crowds. I also realized that I also lack the ability to respond quickly to the audience when they ask out of box questions. I realized that I need to increase my knowledge in a specific subject to increase the spontaneity in answering questions. An action plan can be made to address the weaknesses in the communication. The confidence can be enhanced by taking communication classes after the school. Furthermore, it is important that complete planning and preparation is conducted before giving group presentations. It will increase the confidence level (Aurther, 2006). Taking art in debates is also helpful in building the confidence in communication. During the group working, I am sentimental about my ideas and suggestions. I cannot accept failure easily. It can be improved by practicing and increasing positive thinking. Meditation will be a useful technique in increasing the positivity in thoughts.
