Workplace communication is an effective tool with the help of which businesses manage the internal process of in an organization. In every field of business, communication plays a crucial role in managing the business activities and informing the decision of management to the lower level of employees. With an inefficient management which lacks communication within the organization, any business process cannot aim high to achieve their targets. Effective communication creates employer employee relationship in the company, it assists the major business activities, and also it motivates the employees to perform well. Comprising all these activities initiate attainment of the objective. Thus, in today’s world, it is necessary for a business to maintain good communication in the internal process of their organization (Grunig, 2013).
It tool links the different level of management in an organization. Along with internal process, the external process of the organization also improves the external environment of the organization and initiating good business relationship in the market. The process also helps the business to create transparency and flexibility within the organization, which creates trust on the company.
The report will further discuss about the problems which a company faces due to lack of communication in the internal process of the organization. Further, it also discusses the benchmark company which overcame their business issues by adopting communication process. Additionally, it also evaluates various techniques implemented by the company in order to remove the barrier caused to the company with ineffective communication.
In the current scenario, the company is holding the business activities in many countries like India, Oman, and Australia etc. It provides agricultural equipment in the market. In the process of initiating business communication with local and international clients, the company is facing barriers which are resulting in failure of company’s activities. Thus the report discusses situation faced by the company and its outcomes.
For the purpose of increasing the efficiency and effectiveness in an organizational process, the communication strategies play a crucial role. The process increases the efficiency of the internal process of the organization which ultimately results in improvement of external process of the organization. The company faces the problem of communication gap because they are unable to understand the importance of communication in business context. They feel that communication all the information with lower level of employee results in displacement of company’s privacy. Another aspect is that the top management of the organization feel that informing the lower level of management about the decision which they have taken and initiating them to work on same called effective communication (Jin, Liu, & Austin, 2014). But the matter of fact is that communication includes informing as well as listening to the suggestions and problems of employee. Most of the organization lacks the ability to adequately communication with employees as well as client due to which the growth of the company is hampered (Goetsch, & Davis, 2014).
According to Barrett, meaningful communication is a communication which educates the employees and motivates them to support the strategy implement by the organization. The process of communication brings positive impact on the organizational environment as it give opportunity to speak to every person connected with the organization. Further it shall also be noted that communication increases the speed of work done in an organization and reduces repetition work which results in success of the organization in the target market (Bargiela-Chiappini, & Nickerson, 2014).
The technological innovation shall be implemented in a company along with effective communication to work well in an organization. Most of the company uses these tools but in the wrong direction. Thus, these tools shall be used in such a way that improves the internal management process which in return benefits the company financially as well.
The Bayer Corporation works effectively in maintaining communication system within the organization. The company holds nearly 200 employees, and none of the employees is dissatisfied with the services provided by the company. They initiate to take feedback from the employees in order to look after the problem they are facing in the internal management (Tourish, 2014). Also to remove the barriers of communication the CEO of the company initiated programs which can fit the organizational system.
As discussed above, a business which efficiently uses the process of communication can achieve the business goals defined. So it shall be known that the process is very crucial for the working of the business. Like the company discussed in the case, there are many other companies whose growth is hampered. There are many institutions in the market today which was suffering from low-speed growth due to communication gap but they have somehow survived by using various tools to initiate good communication in the organization (Christensen, & Cornelissen, 2013). In order to address the challenges which a business faces due to non-adoption of communication system, some of the examples are discussed below analysis the issues and outcomes after the adoption of communication system:
Noticing the issue of the company, the fact was known that due to an ineffective communication system, the organization had faced loss of many employees along with which the CEO of the company also left his job. Further the company originated the method of proper communication system within organization which initiated employer-employee relationship within them. The managerial control on the organization was maintained with this effect which resulted in employee retention policy of the organization. The work place crisis was resolved with this effect and the management was also assisted by the lower level employees of the organization which initiated innovation as well (Cornelissen, & Cornelissen, 2017).
In earlier times the company used to face problem in their management due to communication gap. The managers used to differentiate themselves and other owner level employee which created distress among employee resulting to which the growth was going in a negative direction. To resolve the issue the company adopted positive leadership program with the aid of which the employees were attracted to sit and work at their workplace, the process also created a bond with the personnel of the company. Thus, due to this purpose the company worked with proper coordination and initiated success of the organization (Ulmer, Sellnow, & Seeger, 2013).
Nowadays the essence of communication is known to all organization and they uses it effectively to drive benefits for the organization. But the Star Princess organization was unable to understand the importance of effective communication in the organizational process due to which the company has to face many challenges in the process of business function. The core objective of the business was disturbed due to this process. Further in order to resolve the issue the company adopted and updated their management system with efficient and efficient innovation communication techniques which increased the interest of customers as well as client in the company, thus resulting in fulfillment of organizational objective (Jussila, Kärkkäinen, & Aramo-Immonen, 2014).
The company was initially originated as a partnership but due to ineffectively communication within organization, the employee was unable to communicate the performance enhancement program in the organization. The messages and decision of the organization were not properly circulated in the organization due to which corrupt and partial information was delivered to the employees of the organization. To resolve the problem the company implemented a particular process through which the information will be informed and conveyed to every person in organization including both lower and top level management. This process initiated adequate communication in the organization which enhanced the current position of the company (Munro, Munro, Lemmer, & Pretorius, 2015).
Before the introduction effective combination the company managed the weird organizational culture. The company faced the problem of managing the employee who had come from different culture. Thus to resolve the issue the company approached employees and helped them open up with the management of the company. They initiate to make themselves comfortable in the workplace, in order to do the same the company initiated functions to initiate formal as well as informal relationships.
Thus, in the limelight of above events, it shall be noted that every organization needs to implement the process of effective communication in their organization process. Also they need to create employer employee program in order to enhance the resources available to them (Royle & Laing, 2014).
According to the case study provided, it has been observed that in order to eliminate the communication barriers disturbing the growth of the company, the company shall implement various techniques so that the planned growth of the company is achieved (Rosemann, & vom Brocke, 2015). Further the issues and its redressals are discussed below:
The initial barrier in the growth process of the company that the company faces that there is delay is circulation of information. The delay in communication results in delay in other activities of the business resulting to which the whole business process is delayed. So the management of the company needs to scrutinize the areas from where the delay is being made in the organization and control and rectify them so that the information is communicated within time.
Communication process in an organization is affected by various factors. These factors can improve the efficiency and or decrease it. The company shall implement a sound process which shall inform the client as well as the employees regarding the changes happening in the organization. The clients shall be informed about the products and services and the response to the client shall be communicated to the employees as well.
Not always negative response provides negative impact on the growth of the organization. Many times the growth is improved with criticism. In the organization, due to lack of adequate communication system, the feedback of the client are not redressed properly and the management is unable to understand that what the client wants to say. Thus, just like the communication system between company and employees, there is should be a proper communication system between company and clients as well (American Speech-Language-Hearing Association, 2016).
All organization holding their business activities in different countries have different culture which affects the business function. Thus, looking at different aspects of the culture the organization shall initiate activities which shall assist the flow of managerial activities. This will provide support to expatriate employees as well.
Social media is a platform which helps the organization to use innovative technology to communicate with people outside their geographical boundaries as well. Thus, the company shall adopt the technical communication so that they can expand their target market and initiate success of the business (Desai, Berger, & Higgs, 2016).
In order to communicate effective two people involving in the conversation should share the same language so that they can easily understand the thinking of each other and help each other in some way or other. There should be proper language communication in the internal as well as an external process of the organization. The management shall learn to understand the problems of clients and employees of different culture and community.
Thus with a view to evaluate and upgrade the organizational performance, it shall be noted that the company shall adequate use technical tools and drive effective communication out of it. Also the company shall understand the importance of communication process in an organization and use them to increase the efficiency of the organization (Martin, & Nakayama, 2015).
It is one of the most influential models under which various question are identified and answer in order to initiate good communication organization. The company needs to understand that who says what, n what channel, and to whom, with what effect. According to this model the organization should use innovative technologies to communicate with clients (Keyton, et. al., 2013).
This model defines five basic aspects which shall be considered and concentrated while looking at the management system of an organization. Such factors are speaker, speech, occasion, effect and audience. Thus, in this model the top management shall focus on their words while speaking in the organization about the business functions.
This model assists the company to manage the cross cultural activities and problems which the organization is facing. The organization shall look after the mistakes which they have made in past and then initiate a plan which shall overcome the drawbacks of the company (Lambert, & Keogh, 2014).
Conclusion and Implication
Thus, from the above-mentioned events, it shall be concluded that there are various challenges which the company faces if they have an inefficient communication system in their organizational culture. Along with that, there are many aspects which assist the communication process in an organization. To overcome the issue the company shall implement proper strategies and make use of models of communication as well. For the purpose of success of the company, adequate communication in the management system is necessary. And non-adoption of communication plan can result in down growth of the company.
In order to remove the barriers caused due to communication, the company shall make use of various models and theories of communication. There should be adequate communication in the internal as well as an external process of the organization. Thus the company shall create a producer according to which information shall be communicated in the organization and opinions and suggestions of the employees shall be entertained (Quintanilla, & Wahl, 2015). The foremost important thing which the management shall do is that take control in the activities happening in the organization and onto them. Through this process many problems will resolve. Also the management shall motivate the employee to achieve their personal objective which shall initiate the completion of organizational objective as well.
