The Clarion boys school is one of the most popular school in the Chicago, the school started as a refugee campaign for the homeless boys to give them a better and disciplined life. The school is using a very old demolished technology for the daily tasks of the school. The chief operating officer McHardy wants the school IT head Young to be prepared for the upcoming meeting with the board of the directors. Young needs to explain the current difficulties that the school is facing with the information technology systems, and how new technologies can be bought to reduce the operational cost and the other resource usage. In order to do this Young needs to give a proper explanation explaining that what might be the effects that will help the school (Chang, Walters & Wills, 2016). Young also needs to suggest some of the emerging technologies in order to explain the statements being made. With the proper in house infrastructural setup the school can commence the regular needs in a proper manner and the work of the administrator and the teacher will be easier and the student can also be taught of this technologies preparing them for the future.
The school started and founded in the year of the 1989 as a refugee program. Since then the school has already gone through many changes in the system of the information technology, teaching and management technology (Botta et al., 2014). After the initial starting of the school, during the initial 10 years the establishment went though many changes for bringing positive review towards the school. The school undertook several changes in the year of the 2004-2006 in terms of the technical advancement, but these system were not of that much use for the staffs (Reynolds et al., 2014). The school has been divided in 7 departments namely the Social service department, the program department , the education department , the transition department , the ISIS department , the controllers department and the development department each having the own tasks to do.
The current systems that are being used in the school are the IBM as/40 systems , which were one of the best technologies that was invented in that time of the late 2001, but this system are now old technology (Lee & Lee, 2015). The operating systems that the personal computer of the staffs are also the obsolete one, the IBM 5 IOS. In the year of the 2004 all the 60 personal computer of the staffs were changed and AS/400 were introduced (Sung, Chang & Liu, 2016). But in the recent time the technology is getting back logged and the staffs are facing various problems like the lagging of the systems. Some of the mentioned problem are that the book keepers are facing are according some there are persuasive software difficulties that is going on again and again. Some of the educational department staffs are complaining that it is not possible to tech the student such back dated technologies (Hollins, 2015). According to some one in the development department the systems are hard to use.
In order to give a better environment of working for the staffs and the a better educational scheme for the student the team must update the school with the latest day technology available in the market , this will not only help the team to work properly in the school but also give the students something new to learn. The organization can use the Latest IBM ThinkPad technology for the personal staff use. These personal computers or the pc are installed with the latest generation IBM technology and is such superior to the pcs that are currently being used. In order to get the best of this technology the organization can use the latest cloud technology for storing the data and managing the data sheets of the school. The cloud computing system is one of the most advance technology that any industry can use for the betterment of the business (Larson, 2015). The cloud computing system not only helps in storing of data, but also keeps the data safe. There are also many advantages of the cloud system like it reduces the cost of the hardware drives that were required for storing of the data. The cloud computing system can also be merged up with the IOT for the automation of process. The mobile technology can also help. The use of the social media can be done for the advertisement purpose of the school, also can help in the gaining proper news. Also if the students are taught of this technology it can help the students in learning one of the most important technology of the future. The hardware systems other than the PC’s are also needed to be changed like the printing system, the library book system and others. The school authority must also introduce the latest windows Operating system and the authorized windows software’s for the betterment of the staffs in the school (Iyengar et al., 2016). The organization can also introduce the new video teaching or the advance teaching techniques which helps the student learn the advance technologies that are being developed and used all over the world. The library system can be made online, which will reduce the cost of buying the hardcover books, and the students would only need the eBook and a system for the reading purpose, this can also help the book keeper in maintaining the books properly.
The school needs to install the MS office suit which includes the MS office, MS excel, outlook. This helps in the Email implementation process and helps in the shard calendar process. ON of the other technology that the school can implement in the school premises that can help the staffs as well as the student is the interne of things in school (Bingham, 2017). IOT in school is one of the most advanced technology that can help the school and the student learn a lot of things. The IOT can also help the management control each and every technological aspect of related in the school form the CCTV cameras to the cloud systems (Chiu, 2017). The school also needs to hire someone who can look up this technologies. The task is to provide proper maintain of the technologies. It is not enough for the school just to implement the technologies, but also to keep a look after the technologies. The technologies can last for many years if proper
Now as of the price of the technologies, the cost would be minimum, and the old systems that are already present in the school can be used by the student for regular works. Also the waste material can sold in for gaining some of the price of the goods which can be used for buying this new technology.
The organization needs to develop a master plan in order to change the entire system of the school (Cristia, Czerwonko & Garofalo, 2014). This plan must include the statergyic issues and the development planning of the infrastructure of the future. All the staff members must be given proper training under this scheme and the workshops must be conducted in order to make them teach the proper use of the technology. The main work of the IS team is to implement the master plan in the best way possible. The role of the top authority in the entire process is to keep the entire team motivated and give proper supply of the products. Also as the plan is a long term one thus the team has to deal with the processes in the same way. A proper time table must be made and all the task are to be done in accordance of this time table. There needs to be done in order to do all the task in a proper manner.
Thus, concluding the topic it can be said the automation and the technological advancement process is one of the most important task to be done in the school for the betterment of the staffs and the students in the school. It can also be assumed that this will decrease the rivalry with the other school, as the advancements will make the school a superior one. The technology’s that are going to be installed in the school can last for many years and give an edge over the other schools. Also the student of the school will learn new technologies which will help them in the future to stand a better position in the society. The technological advancement will also reduce the work load of the staff members and they can give more time for the betterment of the students. In order to gain this proper information system planning should be done and implemented.
