An Australian construction company PHL in order to enhance the marketing and the customer service planned to redesign and redevelop their existing website. The project aims in building a website that will be decked up with rich contents. These rich contents include new building developments, client testimonials and recent news of the companies.
A user-friendly interface is proposed that will make it easier for the customers to use and operate the website. It is further proposed that the website should be design in such a manner that it allows the PHL workers to work with the clients more closely in order to develop a tailored construction solution. An interactive platform will be created with the website that will enable the clients to interact directly with the PHL workers thus increasing the customers’ satisfaction.
It is proposed that the website will be designed in such a manner that timely feedback from the clients and the prospective clients can be gathered quite easily (Tiago and Veríssimo 2014). This will not only improve the customers’ interaction with the company but will also enhance the customers’ satisfaction leading to an effective business growth.
Business website is an important need for any company as it provides a clear picture of the company to the clients. The existing website of the organization is although good, it does not involve all the necessary details that a client might look for in an online platform. Therefore, there is an increasing need of redeveloping the website of PHL and therefore the project has been proposed (Kerzner and Kerzner 2017). The entire website redevelopment project will however be outsourced since PHL has a lack of internal IT department.
Starting from the design, and implementation to testing, the entire work is needed to be performed outside the organization, as there will be no work on the internal intranet site of PHL. The entire project is divided into a number of phases, which are planning, design, implementation, execution, testing and training (McNider and Lee 2015). A range of specific tasks is planned for each phase of the project, which is needed to be performed for successful project completionn.
It is the responsibility of the contractor to present a project plan containing the details of schedule, work breakdown structure, implementation plan, testing plan, training as well as transition plan, to PHL for their approval only after which the project can kick-start. The details of the project scope, schedule and the work requirements of the project along with the acceptance criteria will is discussed in the following paragraphs.
Project Scope
Project scope is considered as an important phase or element of project planning as it consists of documentation of the identified project goals including the major deliverables, milestone and the tasks that the project will be delivering (Mirza, Pourzolfaghar and Shahnazari 2013). The current project of website redevelopment of PHL has a broad scope and defining each scope is necessary in order to ensure that the current project is completed successfully.
The scope of the project is to redevelop the website of PHL with an aim of improving the marketing and customer services. With this project, the construction company aims in winning a broader audience base by improving the customer support. With the increase in the customers’ satisfaction, it is expected that the company will be able to capture additional market share.
The scope of the project is to improvise the existing website of PHL to provide rick content and accurate information to the clients (Team 2014). The current website lacks viability and appeal and it is not capable of attracting the attention of the customers. The project will redesign the website to provide and will bring in certain improvements to the content of the website. The redesigned contents of the website will include the new building developments, client testimonials and the recent news associated with the company so that clients are able to gain the necessary information from the website itself (Heagney 2016). The scope of the project is t develop a simplified interface that will help in building an interactive website which will provide the client with an advantage of interacting directly with PHL.
However, PHL does not have an adequate IT infrastructure to design and test the website on premise and therefore PHL has decided to outsource the project.
The contractor has given the responsibility of drafting the project plan, which should be approved by PHL (Schwalbe 2015). The chief marketing officer, CMO of the company has the responsibility of accepting the deliverables of the project from the project contractor (Burke 2013). The training of the PHL personnel is considered as an important deliverable as well.
The schedule of the project will be predetermined and the entire project will follow a strict schedule (Marchewka 2014). The estimated schedule of the project however does not consider any possible delays.
The project is needed to be completed before the Christmas eve and the delays in the project should be avoided as much as possible. Timely completion of the project is considered to be the important acceptance criteria of the project.
Work Requirements
A project plan is to be prepared by the contractor, which will include all the details of the project deliverables, schedule, milestone and duration. Prior to the start of the project, the project plan is needed to be approved by PHL. The work requirements are identified in the initiation or the planning phase of the project (Harrison and Lock 2017). The entire project is divided into a number of phases, which are planning, execution, implementation and training.

The above-discussed points are the major work requirements that are expected from the project. These work requirements include major project deliverables as well. The responsibility of accepting the project deliverables is on Sennveasna Naveen who is the chief marketing officer of PHL.

The major deliverables of the project is listed in the above table. The expected completion date is mentioned in the table and each deliverable should not be delayed than the expected finish dates as mentioned (Lech 2013). However, the review of the website can be delayed no later than 5 September as it is necessary to complete the project no later than Christmas. However, if all the tasks are the deliverables are on time, the project is expected to be completed by 24 December or sooner.

The Pricing of each phase along with its cost structure is discussed in the above table. Out of the four phases, the project planning and conversion phase has a variable cost and therefore the final price of the project can change as well.
Acceptance Criteria
The project that will be delivered by the contractor must be in acceptable condition and only then, the project will be considered as successful. The chief marketing officer Sennveasna will have the responsibility of accepting all the deliverables delivered by the design contractor of the website. It is the responsibility of the chief marketing officer to accept the deliverables of the website project. In order to ensure that the project objectives are fulfilled, the Chief Marketing officer (CMO) has made it mandatory for the contractor to deliver a report to the CMO of PHL for reviewing and approval of the project progress.
If the review report is found to be accepted by the CMO, the contractor will be given the permission to proceed with the next stage or else the project phase will need to undergo revision (Too and Weaver 2014). Therefore, it is clear that if a project phase does not match the requirements or the objective of the project, the phase will not be accepted by the CMO and the project (Larson et al. 2014). However, in this case, since it is contractor’s fault, the contractor will be responsible for revising the project.
The acceptance criteria that is set by PHL includes fulfillment of the said objectives of the project and within the set deadline. With the project completion, the contractor will provide a report of project closure to the CMO. The acceptance criterion of the project is that CMO will have to sign the project closure report and acknowledge the completion of the project. Only then, the project will be considered as completed. However, if CMO refuse to sign the project closure document, the project will not be accepted and it will also indicate incomplete deliverable. The Contractor is needed to meet the requirements of all the assigned tasks, which is one important acceptance criterion that is selected for the project.
The acceptance criterion of the contractor is timely payment completion (Kloppenborg, Tesch and Manolis 2014). However, if there is a disagreement between the contractor and PHL in relation to the completion of the tasks of the project, the contractors and the officers of the organization will undergo review and discussion.
In order to eliminate the need of project revision, PHL has made it mandatory for the contractor to provide the daily progress report (Hagen and Park 2013). In this way, the issues with the project can be detected in early phases and if any revision is needed, it can be rectified quite easily.
The contractor will need to provide a perfect website to PHL as per the requirements of the organization and the set project objectives as well. The acceptance criterion of the contractor is that the objectives and the requirements of the project set by PHL do not change in course of time. The contractor will not accept any changes in the requirements during the implementation stage of the project. Furthermore, the project cannot be delivered before the set schedule of project.
